Reports

On this page

Reports are shareable snapshots of brand evidence for a chosen date range. They do not run new prompts; they package the data you already have into a public, read-only view.

A sample brand's report, ready to share

Report contents

Each report is one fixed document, in the same order every time: a summary, visibility and share of voice, how each AI engine names the brand, the competitors, the questions where competitors are named instead, the sites AI cites most, and a short guide to reading the figures.

Date range scope

Reports use a single date range, chosen when you create the report. The report's figures are fixed then: answers that arrive later, plan changes and history limits don't change a report that already exists. If the range reaches further back than your history when you create it, the report covers the days it can and tells viewers which answers aren't included.

What a report can include

Depending on the available data, a report can contain:

  • A summary with key points
  • Visibility, its trend against the leading competitor, and share of voice
  • Visibility by engine
  • Competitors
  • Where you're missing
  • The sites AI cites most
  • Site readiness, AI crawler visits and visits from AI answers, for the whole site, when the site has been scanned or is connected
  • For each win, the question's rate before the work shipped and since, with whether the change is beyond normal variation
  • What Content Studio pages achieved since they went live
  • Perception: the average of the period's readings, against the best-rated competitor
  • Answer examples the report's owner picked, when the organisation allows quotes
  • Segments compared and the category map, when the report covers more than one segment or a category set

The summary is written with AI from the report's figures. Until it is ready, or if it can't be written, the report opens with one line built from the figures instead.

Creating a report

  1. Open a brand and go to Reports
  2. Click Create report
  3. Choose a date range
  4. Optionally set a report name
  5. Create the report, open its public view to review the contents, then copy the link

Public report behaviour

Each report has a public URL. Anyone with an active link can view it without a Cleotic account. Review its contents before sharing it outside your team.

The public page:

  • Shows the same light document to every viewer, whatever their own theme
  • Has Print or save as PDF, which prints every section on A4 or Letter
  • Has no sign-up link and no cookie banner

If the range reaches further back than the report owner's history, the report notes which answers aren't included.

Editing a report

Open a report from Reports to see it as readers do, with what you can change beside it. The figures stay as they were when the report was built. You can:

  • Change its title and edit its summary
  • Hide optional sections: work, wins, site readiness, AI crawlers and referrals, perception, Content Studio results and the segments appendix. Readers don't see a hidden section or hear about it
  • Choose up to five items for next month's plan, put them in order and add a note to each
  • Add work the app didn't record, dated within the period
  • Hide a win's before and after
  • Pick up to six answer examples. Each is quoted as captured and marked as AI-generated. Quotes are off until an owner or admin turns on Let reports quote AI answers in Settings → Client reports; turning it off removes them from every report at once

Readers see your changes as soon as you save them. Duplicate starts a report for another period with the same sections and plan choices.

Sending a report to a client

On Business and Enterprise, owners and admins can email a built report's link with Send to client in its row menu. The email comes from your organisation's sender name, and replies go to its reply-to address. Both are set in Settings → Client reports. You can add a note above the link.

The addresses start as the ones the brand's last report went to. Each address gets one email per send, and Reports shows how many addresses a report went to and when. Cleotic stops emailing an address once an email to it bounces or is marked as spam.

Managing reports

From Reports you can review, copy, revoke, and delete reports. The Summary column shows whether the written summary is ready. Revoking asks you to confirm, then turns off the public link without deleting the report record. It can't recall copies, printouts or PDFs that viewers have already saved.

Limits and unavailable history

A report can include only the history your organisation has when you create it. A wider range can't restore history that isn't available. See Plans and usage for capacity and retention.

If the public link does not open, check that the report has not been revoked or deleted. Create a new report when you want to share evidence collected after the original snapshot.
