Reports

Reports are shareable snapshots of project evidence for a chosen date range. They do not run new prompts; they package the data you already have into a public, read-only view.

Report types

Each report has a report type. The report type controls the narrative framing and the order of sections in the public report.

The v1 report types are:

  • Executive performance -- headline visibility, share of voice, sentiment, movement, and top actions
  • Answers evidence -- prompts, answer evidence, sentiment, citations, gaps, and representative responses
  • Source health -- citation domains, owned-source presence, referrals, crawler signals, and setup health
  • Opportunity plan -- prioritised action list grouped by category with supporting metrics

The default report type is Executive performance.

Report type is chosen when the report is created and cannot be changed afterwards. Create a new report if you need the same date range packaged for a different audience.

Date range scope

Reports use a project-wide date range. The range is chosen during creation and applies to the whole report. Reports follow your organisation's current history retention. If you choose a range that reaches further back than your current plan allows, Cleotic creates a report from the available window and explains the truncation to viewers.

What a report can include

Depending on the report type, a report can contain:

  • Narrative summary
  • Visibility rankings
  • Share of voice and visibility trends
  • Answer gaps
  • Citations
  • Per-segment breakdowns
  • Top action previews

Narratives are generated where available. If a narrative is unavailable or fails, the report still shows the underlying charts and data.

Creating a report

  1. Open a project and go to Reports
  2. Click Create Report
  3. Choose a date range
  4. Choose a report type, or keep the default Executive performance
  5. Optionally set a report name
  6. Create the report and copy the public link

Public report behaviour

Each report has a tokenised public URL. Viewers do not need a Cleotic account.

The public page can:

  • Show the report summary and core metrics
  • Present sections in the order defined by the report type
  • Let viewers switch between segments when the report includes more than one
  • Show a per-segment overview when no single segment is selected

If older history is outside the report owner's current retention window, the public page shows a neutral notice with the visible date range. This helps stakeholders understand the report without implying the data is broken or missing.

Managing reports

From Reports you can review, copy, revoke, and delete reports. Revoking disables the public link without deleting the report record.

Plan limits

Active reports are currently unlimited across trial and paid plans. See Plans and usage for broader limit details.

Retention windows are currently:

  • Business: 90 days
  • Enterprise: 12 months
  • Custom: unlimited history
